Privacy Policy
This policy explains what personal information the Mansa Musa Express app and website (“the app”) collects, why, who sees it, and how you can delete it. We are a delivery service based in Kumasi, Ghana. We aim to handle your personal data in line with Ghana’s Data Protection Act, 2012 (Act 843).
1. Information we collect
| Who | What we collect |
|---|---|
| Everyone with an account | Full name, email address, phone number, password (stored securely by Google Firebase Authentication — we never see it), your role (client, rider, food vendor), profile photo (optional), messages you send us, and notification settings. |
| Clients and food vendors | Pickup and delivery addresses with map coordinates, the recipient’s name and phone number, package or food-order description and value, delivery notes, promo codes used, and payment details such as the Mobile Money transaction ID, payer name or phone number, or crypto transaction reference. We do not collect or store bank card numbers. If you choose to share your live location for an order so the rider can find you, we collect that location for that order. Food vendors also give a business name and a default pickup address. |
| Riders | Preferred name, date of birth, gender (optional), WhatsApp number, residential area, digital address (optional), Driver’s Licence number and a photo or scan of the licence, whether you ride your own bike or a company bike, the type of bike (Pragya or two-tyre motorbike) and its plate number (optional), your daily commission invoices and payments, and office check-ins with GPS location. While you are online, your live GPS location. |
| Everyone | Basic technical information such as your device or browser type and IP address, and a push-notification token for your device if you allow notifications. These are handled by our service providers to run the app securely. |
2. How we use it
- To create your account, take and deliver orders, calculate delivery fees, and confirm payments.
- To show your assigned rider (or your delivery job) on a live map and let riders navigate to pickup and delivery points.
- To verify riders’ identity before they can take jobs, and to manage rider commissions and attendance.
- To send you service messages by in-app notification, push notification and email (for example order updates, payment confirmations and receipts).
- To answer your questions and resolve disputes, and to keep the service safe and prevent fraud.
We do not sell your personal information, and we do not use it for advertising.
3. Location
Riders’ live location is shared only while they are online, is visible to MME staff and (for an active order) the customer, and is removed when the rider goes offline. Once a rider accepts a job, the customer on that order (and anyone receiving the parcel who tracks it) can see the rider’s name, phone number, profile photo, bike type and number plate, and whether MME has verified their ID — so they can recognise who is collecting the parcel. A profile photo is required for every rider. The rider’s ID number, date of birth and licence image are never shown to customers. Clients’ location is shared only when you choose “Use my location” or share your live location for an order. You can turn location off in your device settings at any time; the app will then need you to type addresses instead. Office check-in locations are stored with the rider’s attendance record.
4. Automatic replies (AI assistant)
Messages you send us in the app may first be read by an automated AI assistant, which answers common questions (such as prices and tracking). To produce that reply, the text of your message, the earlier messages in that chat, and a short summary of your recent orders (order code, status, addresses, fee, and the rider’s name and phone number) are sent to our AI provider, Anthropic. Its replies are labelled “(AI)”. A copy of the recent chat is kept so the assistant can follow the conversation, and is deleted with your account. If the assistant can’t help, it tells you so and the message goes to MME staff, who reply in the same chat. Please don’t put sensitive information such as passwords in messages.
5. Who we share information with
- Riders receive the pickup and delivery addresses, recipient name and phone number, and notes needed to complete a job. Customers see their rider’s name, phone number and live location for an active order.
- MME staff (CEO, front desk) see the information needed to run the service, including rider ID documents.
- Service providers that run the app for us: Google Firebase / Google Cloud (accounts, database, file storage, hosting, push notifications); Brevo (sending emails); Anthropic (AI replies, see section 4); OpenStreetMap and its Nominatim service (address search and map tiles — the place you type is sent to them); and our payment partners, such as Hubtel, when you choose to pay through them.
- Google Maps: when a rider or customer taps a “Directions” link, Google Maps opens with that destination, under Google’s own privacy policy.
- Authorities where the law requires it.
6. Security
Data is sent over encrypted (HTTPS) connections. Access to the database and to riders’ ID documents is restricted by security rules so that only the account owner and authorised staff can see them. No system is perfectly secure, so please keep your password private.
7. How long we keep it, and deleting your account
We keep your information while your account is active. You can delete your account at any time — see how to delete your account. When an account is deleted we remove the profile, login, profile photo, Driver’s Licence scan and ID details, live-location data, messages, notifications and office check-ins.
Records of completed orders and payments (order code, amount, date, addresses, recipient details and payment reference) and commission invoice and payment records may be kept for as long as needed for accounting, dispute-resolution and legal purposes. When you delete your account, your own name and phone number are removed from those records.
8. Your choices and rights
You can view and update most of your details in the app under My account. You can ask us to correct your information, tell us what we hold about you, or delete it. Contact us using the details below.
9. Children
The app is not directed at children under 18, and riders must hold a valid Driver’s Licence. If you believe a child has given us personal information, contact us and we will delete it.
10. Changes to this policy
If we change this policy we will update the date at the top and, for important changes, tell you in the app.
